Professional SaaS Software: Cost, Contract and Export

An online software is also judged on the tasks it covers, its limitations and how to get out of it. A monthly price displayed does not always describe the team's expense.

Quick response

Essential in a minute

Test your work scenarios, calculate the expense for all users and read the limits of the package. Before confining actual data, identify responsibilities, security and contractual conditions. Test export and its reuse: a downloaded file is not always a exploitable migration.

1. Test real work

Write three essential tasks: create a sheet, retrieve a document, produce a report or transmit a data to another tool. Test these tasks in the package actually envisaged, with fictitious data. Note the necessary roles, limits, integrations and manual steps. A demonstration on a higher formula can mask the absence of a function in the chosen package. Engage the person who will use the software on a daily basis: the number of functions is less important than the possibility of completing a task correctly.

  • Essential scenarios tested.
  • Package and exact fees.
  • Integrations actually used.

2. Calculate the team budget

Fictitious example: five users to 15 € per month represent 900 Add the start-up, modules, storage, overtaking and training time. Check if the price displayed assumes an annual payment or a minimum number of accounts. Compare the amounts on the same tax basis and the same duration. The reduction of a package can make an export or a function unavailable; keep the important limits in your comparison table.

  • Number of identical accounts and period.
  • Distinguished HT and TTC.
  • Modules and exceedances included.

3Clarifying responsibilities

Identify which data will be processed and who will be able to access it. When the provider processes personal data for your organization, review the contract, responsibilities and guarantees with the data protection person. CNIL provides benchmarks on outsourcing and cloud security. Check access controls, incident management and return conditions. A general statement of compliance on a business page does not replace commitments that match your specific processing.

  • Data and uses identified.
  • Contractualized responsibilities.
  • Access and documented incidents.

4. Test the exit before entry

Create a small set of fictitious data and then export it. Open the result in another tool and check the characters, dates, attachments, relationships and history required. Ask for what remains accessible after termination, how much a migration support costs and how data deletion is organized. Provide a person responsible for the output and an independent backup as needed. The best time to check these conditions is before depending on the software for your activity.

  • Export tested and rereaded.
  • Attachments and relationships maintained.
  • Termination and deletion included.

Deployment changes the cost of the first year

Hypothetical example for an organisation: A costs 45 € per month plus 300 € for deployment; B costs 65 € per month with no deployment fee in this scenario. Over twelve months, A costs 840 € and B 780 €. Over twenty-four months, A costs 1 380 € and B 1 560 €. These totals assume constant prices and identical scope. Confirm user numbers, integrations, support and taxes before comparing actual quotes.

  • Keep the same scope of modules and users.
  • Add migration, training and deployment required.
  • Provide an export trial with your test data.

Check the points you actually checked. Checks stay in this page during the visit; they are not sent to the server. A checked point does not constitute a validation of the merchant.

Frequently Asked Questions

Useful answers

Does a free trial allow you to check everything?

Not necessarily. Confirm the tested package, limitations, integrations and functions that remain available after testing. Use fictitious data to prepare the comparison without prematurely transferring customer data.

Does a CSV export guarantee a simple migration?

No. Check the format, attachments, relationships, and fields. Try to reuse the file in the target tool; the format name does not describe what has been retained.

Do the rights of an individual automatically apply to the professional contract?

Do not assume it. Read the contract and the regime applicable to your situation. Time limits, commitment, termination and warranties must be considered for specific professional purchase.
